Ordering Cargo Railway Wagons

To get started with any specific transportation of a complete wagon load, it is essential to order a railway cargo wagon first. This can be performed by using a so-called ‚Loading Booking Form’. As of 01-9-2006, orders for Czech Railways cargo wagons to transport complete wagon loads can be transferred by the use of modern technology.

Although you may keep on using the traditional procedures, the former ‚Booking of Loading‘ form (ČD 735 3 3448 and ČD 735 3 3449) has been terminated and replaced with the ‚Booking of Loading‘ form in the xls. format. You may obtain the form either from a railway station (depending on local circumstances) or via e-mail/ČD web portal.

Booking your loading via e-mail:

Complete the form as necessary and send it to the designated office, depending on your loading place and terms and conditions of the relevant ‚UŽST‘ (station), which will ensure processing. For contacts to these offices, please click here.

When booking your loading electronically using the ČD Portal, the following procedure must be used:

1. Ask ČD for your login and password. Your application must include the information below in the following order:
   •    Customer ID
   •    Registered seat (as per the Company Register)
   •    Contact e-mail for sending a message about your order
   •    List of users authorized to access company orders, including their phone numbers and e-mails (only if they wish to have personal access)
   •    Binding statement, whether single access per company or per user is required
2. Sign in using the login and password you obtained in your application.
3. After you log in, use the ‘CNP’ (Centrální nákladní pokladna) option located at the top of the screen. Then, in the next screen, select ‘OBJEDNÁVKY’; in the ‘OBJEDNÁVKY PŘEPRAVY’ box, a place of loading must be selected (station of loading and handling point); then click and view the next menu.
4. After selecting the point of handling, open the ‚PŘIDAT‘ option. The heading of the order form is displayed. Fill it in according to the master, then confirm the data (‚POTVRDIT‘). ‚PŘIHLÁŠENÍ NAKLÁDKY‘ rows will be displayed. (Note: The boxes with check boxes next to some of the items allow for selecting of enabled items from the relevant code lists; the rectangle with three dots will make your selection easier when at least two characters are entered).
5. After you have entered all data including the ‚PŘIHLÁŠENÍ NAKLÁDKY‘ rows, confirm, and then save; this will submit the data to the respective office for further processing.
6. After delivery of your booking, you will receive an e-mail containing information confirming receipt of your booking in the system.
7. The booking will be registered with the system after having been checked in terms of SPP, and information about the registration will be sent to you via e-mail.
8. Information on allocation of the wagon for the requested transport will be sent to you via e-mail again. At the same time, this will confirm the allocation according to SPP and PTV regulations.

By electronic data transfer

- using exchange files between customer and ČD information systems. This method is specific, so it may be used based on a contractual relationship between the customer and ČD.

By means of the ČD Portal, railway cargo wagons may be ordered only; however, not sooner than 31 days before the required day of loading.

With respect to operational circumstances, we recommend that you place your Booking of Loading as far in advance as possible, especially when you require your wagons to be provided on Monday. In that case, we recommend placing your booking on Thursday, or else on Friday, if you need the wagons on Tuesday. The ČD portal cannot be used to cancel or revise your Booking of Loading, to cancel your wagon, etc. Such situations may be resolved solely in collaboration with a wagon-managing clerk and must be documented under the legislation in force.

Note:

Customer requests concerning logins and passwords are processed on a first-come-first-serve basis. When this method of submitting the Booking of Loading is applied, ČD reserves the right of testing operations based on an agreement with the customer. Over such a period, which will not be limited in terms of time and will be fully subject to a decision of the relevant railway station or UŽST, Booking of Loading forms will be registered solely via the ČD portal and by submitting the form at the same time. After verification of the proper procedure, the testing operation will be terminated by the respective railway station or UŽST.
